SportOffice Modules
provide a complete 'end-to-end' software solution for all the phases of sport program management.

Many competitors provide solutions that address one or two of the SportOffice Sport Management Cycle, but none provide 'end-to-end' solutions like SportOffice.  As a result, organizations using other products find themselves creating and re-creating data over and over again, which is very inefficient and time consuming!

SportOffice Sport Management Cycle

The cycle begins with Planning.  This phase assumes that you have access to complete and accurate data to optimize your planning initiative.  You will need to know how many registrations you had from the previous year, the change in registrations from year to year, and the number of registrations you will have in each age group.

While you discuss registrations, you need to review your feedback from parents, players and coaches from the previous season to determine what program changes you will institute based on their input.  SportOffice FindOut will provide you with this data instantly and accurately.  Because all data is automatically rolled up into summary charts, you can quickly discern how your members feel about your programs and what improvements are required.....no more sifting through hundreds of paper-based feedback surveys one by one!

You can consult your SportOffice Team module for a quick review of your equipment inventory.  Go through the inventory to quickly determine the state of your equipment - what needs to be repaired and what needs to be replaced.  You can even determine whether or not equipment has not been returned and who has it signed out.  Now, based on your projected registration numbers for the upcoming season, you can quickly determine what new equipment is required and set up a purchase budget.

As you determine your registration numbers, you can review what you will require in terms of volunteers.  You might have volunteer positions that you need to fill or specific fund raising events that require volunteers.  Both of these types of volunteer requirements can be linked into your upcoming registration efforts so that your volunteer sign-up is completed as part of your online registration.  All of the settings for program registration and volunteer management can be setup and reviewed using SportOffice Admin.

Finally, you will need to communicate your upcoming program information to your members through your organization website.  Using SportOffice Publisher, you can quickly and easily update your website information so members have access to current and reliable information.

You are now ready to Initiate your program!

This is the 'launch' of your program.  You communicate to your members through email and your updated website.  Members are able to register online as well as sign-up for volunteer positions.

As members register, you can track your registrations in real time.  This means that if you are getting more registrations for a particular area than you planned, you can start to look at adjusting schedules or possibly ordering additional equipment for that age group - no more guessing!

As the registration information comes in, your various 'coordinators' are able to login and view the results for their area of responsibility.  Age group coordinators can see how many registrations they are getting for their age group.  Volunteer coordinators can see how volunteer sign-up is going and equipment managers can review what the equipment requirements will be for the upcoming season.

In the 'coordination' phase of the cycle, information within SportOffice is moved from primarily an 'administrative' use (by the Registrar) to various 'coordinator' roles.  Coordinators take the registration information they have for their age groups and create 'evaluation teams' using the SportOffice Team module.  They can assign players based on their player evaluations from the previous year which has already ranked them.  This same evaluation system will be used during 'tryouts' to properly place players on the appropriate team.  Each 'evaluation team' automatically publishes to a team 'website' where parents and players can go to see when their evaluation times and locations are.

Once evaluations are complete, evaluation scores are entered for each player using the SportOffice Team module.  Player ranks are calculated and coordinators can then use this information, as well as other player profile information (height, weight, position preference, hand of shot, last team played for, etc...) to place players are the proper team.

Coaches and managers (and other team officials) are assigned to teams.  Equipment coordinators can assign equipment to teams as well.  Profiles are kept for these positions as well so you can maintain and up to date list of all coordinator certifications.

Once the teams are set, a master schedule can be drawn up and inputted into the SportOffice Team system.  This will automatically display team schedules for games, practices and events.

Once the teams have been set, information management moves from the Coordintor level to the team coach and manager level.  Coaches and managers will have a team website setup using the SportOffice Team module.  Coaches and managers can now use the team website to display:

- team schedules (games, practices and events)
- a list of team contact names (only accessed via team login)
- team announcements
- team links

All team information and communication occurs through the team website.  The coach and manager can add, modify and delete team schedule information as well as add their own team announcements and links.

Should age group coordinators have announcements they need to send out, they can use SportOffice Team to quickly generate announcements that will automatically display on all team websites.

Coordinators can now look at coach and player development.  SportOffice Learning is ideal because it allows for the development of online curriculum that can be deployed 24/7.  This means that target students can review learning courses when it is convenient for them, on their own time, and at home on their own computer.  Courses can include tests to track student understanding and completion of course material.

As the season draws to an end, SportOffice FindOut is deployed to collect feedback on all aspects of program delivery.  This could be one or more online surveys sent out to various stakeholders.  As the responses come in, the data is automatically rolled up into useable result tables and graphs so that the organization executive can quickly see how their program faired for the season.  This information is then used to make improvements for next year.
